Automatic completion of customs documents

Do you handle a lot of export shipments? Use automatic customs to create them quickly and easily.

Updated over a week ago

This feature requires Shipmondo Essentials or Pro. See the full feature list.

When exporting, you’re required to complete and attach the correct customs documents for the destination country.

These documents are typically pro forma or commercial invoices, which customs authorities use to verify the contents and value of your shipment.

In Shipmondo, you’ll be asked to complete these forms electronically when creating the shipment. You can also find instructions on how to fill them out manually here.

Filling in customs documents can be tedious and time-consuming - especially if you’re handling many export orders. With Shipmondo, you can automate the process and save valuable time.

Below, you can learn how Shipmondo’s Automatic Customs feature helps you generate customs documents automatically.

How to use automatic customs

Step 1 - Prepare your product data

The first step in automatic customs is to ensure that your products in Shipmondo have customs information filled in (country of origin, content description in English, tariff, weight).

Below is an example of a product with customs information filled in:

The easiest way to check if your products have customs information filled in is to export your products in Shipmondo to an Excel file. If you do not have customs information on your products, you can enter it in the Excel file and then import the file and update your products in Shipmondo.

Read about how to export/import to Excel file and update your product data here.

💡 Expert tip: If you’re using Shopify, you can streamline your workflow by automating the transfer of data for customs documents – follow this guide and save time on manual entry.

Step 2 - Activate automatic customs

Now you are ready to activate automatic customs.

Go to Settings > Integration > Order. Click on the integration for which you want to activate automatic customs.

Check Use customs data from products (Order management) and click Save.

You have now activated automatic customs.

From now on, customs information specified on your products will be used to complete the electronic customs documents when you create export shipments for orders coming from this order integration.

💡Expert tip: Enable automatic customs line consolidation under Settings > Company > Information > Customs to reduce the number of customs lines with identical information. This feature applies across all booking channels (manual booking, order management, API, and Print Client) and can help you save on import clearance fees.

Note! Shipping templates

When you use automatic customs, where customs information is retrieved from your products, Shipmondo will only use the customs category (Category) on your shipping templates.

Any other customs information provided on shipping templates will be ignored, as they will be retrieved from your products instead.
