How to manage an order in Shipmondo

See an example of how to process an order in Shipmondo, from start to finish.

If you have a webshop, you're most likely managing your orders directly in your webshop admin, and you are probably used to switching between different systems for processing orders, handling payments, printing shipping labels etc.

Employing Shipmondo Order Management will make it possible for you to gather all your logistics activities in one system and streamline your workflow to a remarkable level.

What you get is a solution where all order management processes have carefully been thought through and based on the best practice. As a result, you get a user-friendly and effective solution for your everyday work.

For the purpose of reviewing the processes/phases that an order goes through, this guide is showing a manual process of handling a single order.

Note! If you have many shipments, you can streamline and automate your workflow by employing our functions for mass handling of orders, such as picking several orders at the same time by creating picking paths and pick lists, mass payment capture, performing several actions with a single click. These features will not be covered in this article, but you can read more about it under Pick and pack and Productivity.

How to manage an order manually

An overview of imported orders can be found under the menupoint Order Management > Orders. You open the order by clicking on the order line.

In this example we're processing an order containing two products, order No. 442 to James Woods. 

Step 1 - Use the packing list to collect products from your warehouse

Click on Download packing list and a PDF document will be opened. If storage location is available for your products, these will appear on the packing list, as shown in the example below.

Note! Picking with pick lists is the simplest way to handle an order.

Shipmondo offers 3 different picking solutions i.a. digital pick paths, where multiple orders can be picked/collected at the same time and product images and picking instructions are shown on screen. There's also an option of scanning items during pick (order check). You can read more about the various pick solutions available in Shipmondo here.

Step 2 - Create fulfillment

When the order is picked off the shelf, packed and ready for dispatch, open the order again and click on the Create fulfillment-button.

Specify the number of items that are being sent in this shipment.

The assumption in our example is that the item SKU 1HDP4E-1HN03 is sold out and therefore can't be dispatched right now. In this case we enter 0 as the quantity for fulfillment.

Click on Create.

The system has now created one fulfillment containing the item SKU 2RC001. The item that couldn't be dispatched remains under Unfulfilled.

Step 3 - Capture payment

It is now possible to capture the payment for the item we're expediting.
Click on Capture payment under Customer.

Adjust the amount, if needed, and click on Capture.

You'll get an on-screen notification regarding the success/failure of your capture. This notification will be shown under Events as well.

Step 4 - Create a shipment

You're now ready to create a shipment (shipping label) for your order.

Click on Create shipment.


If a shipment template is set up correctly, a shipment will automatically be booked with the correct data and a shipping label will be ready for print.

Alternatively, you can click on the drop down menu beside Create shipment and select Create shipment manually. This will open a pop-up window for manual shipment creation.
Follow the on-screen instructions and complete your booking manually.

Need to change the shipment information after the import?

If you need to change shipping information (e.g. because your customer has changed their mind about the delivery method or the order needs to be split into more than one shipments), you can create a shipment manually based on your imported order. Follow this guide to see how it's done.


Need a delivery note?

If you wish to attach a delivery note for the customer, with an overview of the items included in the shipment, it is possible to print it from your order details as well.

An example of a delivery note is shown below.

Completing the orders with a scanner

You can achieve an even faster workflow by scanning the barcode on the packing list.

With one scan you can create a fulfillment, withdraw money, book a shipment, print a delivering note, print your shipping label and finish the order.

Pick solutions in Shipmondo
